Collato x Google Drive

Collato’s integration with Google Drive allows you to import Google Docs, Sheets, and Slides from My Drive and Shared with Me. These files can be added either as an embedded link in a Collato card or via the Google Drive icon on the toolbar.

To begin, you will be encouraged to authorize Google Drive access to Collato. Your authorization is unique to you, so other team members in the Collato organization will not have access to import your files.

After you import a Google Docs, Sheets, or Slides, Collato will take some time to process the content. Once fully processed, you will be able to experience the following:

  • For Google Docs: Information will be previewable in PDF format, searchable, connected and even summarized.
  • For Google Sheets: Information will be previewable in PDF format.
  • For Google Slides: Information will be previewable in PDF format.

Why can’t I see my other files (e.g. .png, .mp4, .docs, .xls, .ppt) in the content browser? Collato is compatible with Google Docs, Google Sheets, and Google Slides. For this reason, any other file types will not be displayed.

If you really want to import these files to Collato, we recommend converting your documents into Google Docs, Excel spreadsheets to Google Sheets, and your PowerPoints to Google Slides. Any images and videos can be uploaded directly onto a Collato card.

Will Collato edit or delete my files from Google Drive? The short answer is no. Imagine Google Drive and Collato integration as a one way street. Any changes you make in Google Drive will reflect on Collato, but not the other way around. What you add or remove on Collato will keep your original documents untouched.

Who can see my imported information? Any content you import from Google Drive will be shown as a card, accessible for team members with access to your Collato workspace. If you import content with restricted permissions, team members will see your card on the map and will be able to see the PDF preview, but they will not be able to access the original document.

How is my content shown as a card? On Collato, your Google Docs, Sheets, and Slides will display as a card on the map. When opened, we open the card to a fullscreen where you can see the PDF preview on the left, summary section and properties on the right.

How long does it take to sync new edits? If any edits are made to your files, Collato will reflect these changes after 10 minutes of idle time. This delay is programmed so that any “drafted” information in mid-edit mode will not influence a less-than-ideal search result in the meantime.


Why am I asked to reconnect to Google Drive? For your safety and security, we will ask you to re-authorize Google Drive access if you have been inactive for a long duration of time. During this long duration of inactivity, Collato’s access token to your Google Drive expires. This expiration mechanism ultimately protects you.
